Terms of Service

Session Duration & Attendance

  • Each session lasts 1 hour

  • Late arrivals: Sessions start at the scheduled time and will end as originally planned. There are no extensions for late arrivals

  • Fitness Assessment: All new clients must complete a fitness assessment before starting regular sessions. This includes a movement screening, goal-setting discussion, and training plan overview. The assessment requires a deposit of £30, which will be deducted from the first payment if the client signs up for a package otherwise it’s non-refundable 

Deposit Policy

  • A non-refundable deposit of £20 is required to secure a booking for the initial Fitness Assessment

  • The deposit is non-refundable under any circumstances, including cancellations or no-shows, as it covers administrative costs and secures the trainer’s time

  • Clients may reschedule the Fitness Assessment without penalty if at least 24 hours' notice is given. The deposit will be applied to the new appointment

  • If rescheduling is requested with less than 24 hours' notice, the deposit will be forfeited, and a new deposit will be required for a future appointment

  • If the client proceeds with a training package, the deposit will be credited toward their first payment

Payment & Scheduling

  • Payment is required on the last Friday of each month for the upcoming training period

  • No rolling over sessions – sessions do not carry over into the next month. Clients must use all sessions within their payment period

  • Holiday Policy:

    1. Clients are responsible for managing their training schedule around planned holidays

    2. If you know you will be away, do not pay for sessions you won’t use

    3. If you choose to proceed with payment, it is your responsibility to complete all sessions within the payment period (e.g., by scheduling additional sessions before departure)

    4. Sessions will not be extended or rolled over to future months due to holidays

 

Cancellations & Rescheduling

  • Reschedules must be requested with at least 24 hours' notice. Any request after this time will count as a missed session

  • One free reschedule per payment period is allowed—any additional late reschedules will result in the session being forfeited

  • Sick Policy: Clients who are ill must notify ASAP. - One illness-related reschedule is allowed every 3 months and must be made up within the same week. If a client has already used their illness-related reschedule within the 3-month window, the session follows the standard rescheduling policy (3.2)

  • Trainer Rescheduling: If the trainer must reschedule with less than 24 hours' notice, the client may choose to:

        a) Reschedule the session without penalty, or

        b) Receive a session credit for use within the same payment period

 

Code of Conduct & Trainer-Client Relationship

  • Clients must inform the trainer of any health conditions or injuries that may impact training

  • Respect & professionalism are expected at all times. Any inappropriate behavior, including harassment, aggression, or disrespect, may result in immediate termination of services with no refund

 

Session Credits & Termination Policy

  • Payments are non-refundable once the payment period begins

  • If a client cannot continue training for documented medical reasons, any remaining sessions will be credited for future use within the same payment period rather than refunded

  • Clients may choose not to renew their package for the next payment period

Trainer-Initiated Termination: onemetabolic reserves the right to terminate services if: The client repeatedly cancels or misses sessions. The client fails to follow safety guidelines. There is a breach of professionalism or misconduct. onemetabolic reserves the right to refuse future services to clients who have been terminated for repeated cancellations or misconduct

Limitation of Liability

  • Clients acknowledge that exercise carries inherent risks and assume responsibility for their participation

  • onemetabolic is not liable for injuries, losses, or damages except in cases of gross negligence or misconduct

  • Clients must ensure they are medically fit before training

 

Privacy & Marketing

  • Client workout videos and progress photos may be used for marketing only with explicit consent

  • By providing a written testimonial (e.g., Google review, email feedback), clients agree that their words may be used for marketing purposes unless they request otherwise
